Privacy policy

Combs Coaching & Consulting Group, LLC ("we", "us", "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use and share it, how long we retain it, and the choices you have about your data. This policy applies to information collected through our website, client intake forms, scheduling and payment platforms, emails, and other direct communications.

1.      Information We Collect

  • Contact and identity information: name, email address, phone number, mailing address, and professional details you provide when you inquire, book services, or become a client.

  • Transactional information: appointment dates/times, billing details, payment confirmations, and invoice records needed to provide services and comply with tax or accounting obligations.

  • Communications and content: messages, session notes, assessment responses, and other content you share during coaching or consulting engagements.

  • Technical and usage data: IP address, device and browser information, pages visited, referral URLs, and analytics from cookies or similar technologies used to improve the site and services.

We collect only what is necessary to deliver services and manage client relationships, and we document why and how each category is used.

2.      How We Use Your Information

We use personal information to:

  • Provide, manage, and personalize coaching and consulting services, scheduling, and client communications.

  • Process payments, send invoices and receipts, and fulfill contractual obligations.

  • Improve our website, offerings, and client experience through analytics and feedback.

  • Communicate important updates, appointment reminders, and service information.

  • Meet legal, regulatory, and tax requirements when necessary.

We do not use your information for purposes incompatible with the reasons it was collected without first obtaining your consent.

3.      Cookies, Tracking, and Third‑Party Tools

We use cookies and analytics tools to understand website usage, improve functionality, and measure marketing effectiveness. Third‑party services (for example, scheduling, payment processors, and analytics providers) may collect information on our behalf; these providers maintain their own privacy practices. You can manage cookie preferences through your browser settings, and you may opt out of certain tracking where feasible.

4.      Sharing and Disclosure

We do not sell personal data. We may share personal information when necessary to:

  • Service providers and platforms that support our operations (scheduling, payment processing, email delivery, analytics) under contractual confidentiality obligations.

  • Comply with legal obligations or respond to lawful requests from public authorities.

  • Protect our legal rights, property, safety, or the safety of others.

Any third parties that receive personal information from us are required to use it only for the contracted purposes and to protect it appropriately.

5.      Data Security and Retention

We implement administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, and destruction. While we strive to protect your data, no system is completely foolproof. We retain personal information only as long as necessary to provide services, fulfill legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data type and legal requirements; we securely delete or anonymize data when no longer needed.

6.      Payment Processing

We use Stripe to securely process all payments. Stripe is a trusted third-party payment processor that complies with industry standards, including PCI-DSS (Payment Card Industry Data Security Standard).

When you make a payment, your financial information is handled directly by Stripe — we do not store or have access to your full credit card details. Stripe is legally obligated to protect your data under applicable privacy laws, including the GDPR and CCPA.

For more details, please review Stripe’s Privacy Policy.

7.      Use of Zoom AI Companion

When conducting virtual meetings, I may use Zoom’s AI Companion feature to generate meeting summaries and action notes. This tool automatically creates a written recap of the discussion to help ensure accuracy, follow‑through, and consistency in the services I provide. The tool does not record or store audio or video, and all summaries are generated securely from temporary, real-time transcription only.

The summaries are intended for internal use only and are shared with clients only when relevant to their engagement. I do not sell or disclose these summaries to third parties. For more information on how Zoom handles data, please review Zoom’s Privacy Statement.

By participating in a meeting with me, you acknowledge and consent to the use of this tool for the limited purpose of generating summaries.

 8.      Your Rights and Choices

Depending on your jurisdiction, you may have rights regarding your personal information, including the right to access, correct, update, delete, restrict processing, or request a copy of personal data you provided. You may also object to certain processing or withdraw consent at any time (where processing is based on consent). To exercise these rights, contact us using the information below. We will respond in accordance with applicable law and our policies.

9.      Minors

Our services are intended for adults. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from a minor without parental consent, we will take steps to delete it as required by law.

10.      Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, technology, legal requirements, or business processes. When material changes are made, we will post the revised policy on our website with an updated effective date. Continued use of our services after such changes constitutes acceptance of the updated policy.
